Workflows

Kanban Controlled (Kanban-C) is a patent-pending methodology for workflow management with controls. It is simple to use and non-tech users can be proficient within an hour. We also provide parent and child task list views, personal to-do lists, time & billing and lessons learned.

Meetings/Agendas

AdaptiveEComm provides two meeting packages: Board Meetings and Team Meetings. Functionality ranges from setting up committees, scheduling meeting prep and meetings, setting and authorising agenda topics, creating and voting on motions, reviewing action items, reminders, declaring conflicts of interest and meeting minutes.

  • Agile: It keeps the best of Agile and introduces traceability and controls; task owners, start and end dates, material and equipment availability, a manual timeline, 49 customisable status options and is suitable across all industries and team sizes


Task List View
  • Summary of Child Tasks: At a glance view all child tasks, track status and progress. Potential issues, such as stuck/waiting/overdue, or non-task-owner updating manual timeline are easily visible. Items are sorted by priority with signed off items listed last

  • Edit, Filter, Search & Chat: Edit task data and create grandchild tasks. Filter by project, role, user, task or status. Search by Task. Teams can chat/add notes and view full message threads per child/grandchild task

Lessons Learned
  • Rationale: These can act as invaluable resources to avoid future pitfalls and improve how future projects, processes or workflows are managed

  • Create: On a continuous basis create and share lessons learned either within teams, groups, or company-wide

  • Filter & Search: Filter by Portfolio, Program, Project, Group or Team and search by tag to find data quickly


Personal To-Do Lists
  • Personal Lists: All users have To-Do Lists. These are personal lists and are not shared with teams. This is not the same as Team or Project List Views. Instead it allows each user to set their own tasks, with description. Items can be edited and removed

  • Status: Status can be set to open, in-progress and complete

Time & Billing
  • Time per Task Logged Automatically: Within Kanban-C users have a start-stop button. Any time they work on a child task hours, minutes and seconds are logged. Stopping for breaks or changing tasks is simple. Click stop then start another task. This works perfectly for on-site and off-site/remote, hybrid and WFH

  • Billable Hours: Parent tasks also have a start-stop button. All time is aggregated to the parent task level to show total billing per parent task, project, as well as billing per client. Filter or slice data per user or project



     Meetings/Agendas

Committee/Group Members
  • List: View a full list of all committee members. Edit, remove and add new members

  • Groups/Teams: The same functionality is available for groups and teams, with a slimmed down version of Committee/Agendas

Register of Interests
  • Conflicts of Interest: Committee Members can record any conflicts of interest, to abstain from voting during certain instances. A separate Register of Interests is held for each committee

  • Corporate Governance: This helps foster sound Corporate Governance


Meeting Topics
  • Create & Edit Topics: Set up new meeting Agendas and invite Committee or team members. Add topics and sub-topics, time allocated, presenter and order topics. Data can also be edited or removed

  • Approvals: The Committee Chair or meeting chair should approve topics

  • Filters: Filter by agenda name and search by topic or sub-topic to access relevant data more quickly

Meeting Attendance
  • Maintain List of Attendees: Record who attended vs. those absent. In addition to monitoring rates of absence, when issues occur it can be serve as proof that topics were discussed and action items agreed


Actions Report & Reminders
  • View & Edit Actions: Create actions agreed upon per topic/sub-topic. Status can be set to: Continuing discussions, action taken or complete. Due date and notes are also visible. Set up reminders e.g. a week before due date, or once actions are overdue

Voting
  • Vote on Motions: Create motions and vote during Committee Meetings. Options include: Approve, Disapprove and Abstain

  • Voting Rules: You can opt to include a quorum (minimum number of attendees) before voting can occur


Meeting Minutes
  • Roll Call: Keep a record of meeting date, time, location, as well as roll call: Those who attended vs. those who were absent

  • Record Minutes: Minutes show summaries of discussions and actions taken across topics and sub-topics

  • Circulate Minutes: Save as PDF and circulate as needed

  • Customised Layout: The layout of data can be customised
